Coaching Agreement & Client Contract
1. Purpose of Coaching
Coaching is a professional partnership that supports clients in exploring their direction, strengthening confidence, and creating meaningful change. Coaching provides space for reflection, clarity, and action. While coaching may feel therapeutic, it is not counselling, psychotherapy, medical treatment, or legal/financial advice. Coaching is forward-focused and action-oriented.
2. Roles and Responsibilities
- Coach’s Role: Provide a supportive, respectful, and confidential environment to help identify goals, explore challenges, and create strategies for action.
- Client’s Role: The client is responsible for their own growth. The success of coaching depends on commitment, willingness to take action, and ownership of choices.
3. Confidentiality
All sessions are treated as confidential. Information will not be shared without consent, except where:
- There is risk of harm to self or others.
- Required by law or court order.
4. Session Structure
- Sessions are 45 or 90 minutes depending on the package.
- Sessions may take place in person, online (secure platform), or by phone and is at the discretion of the coach.
5. Fees & Payment
- Fees are agreed in advance.
- Payment is due when booking.
- Payments accepted via Stripe
6. Cancellations & Rescheduling
- A minimum of 48 hours’ notice is required for cancellations or rescheduling.
- Sessions cancelled with less than this notice may be charged in full.
7. Termination of Coaching
Either the client or the coach may end the coaching relationship at any time, with notice.
8. Liability
Coaching requires active participation. The client is solely responsible for their own decisions, actions, and results. The coach cannot be held liable for outcomes except in cases of gross negligence or misconduct.
9. Privacy & Data Protection
Personal information is handled securely and in line with data protection laws (including GDPR for EU clients). Notes are kept confidential and never shared without consent unless legally required.
10. Complaints & Concerns
Concerns can be raised directly with the coach and will be addressed promptly and respectfully.
Confidentiality & Duty of Care Statement
1. Commitment to Confidentiality
All coaching sessions are private. Information is not shared without consent.
2. Limits of Confidentiality
Confidentiality may be broken if:
- The client is at risk of harm to self or others.
- Required by law or safeguarding duty.
3. Record-Keeping
Notes are brief, stored securely, and compliant with GDPR/US law.
4. Duty of Care
The coach may recommend referral to another professional if additional support is needed.
Code of Ethics
1. Professional Conduct
Honesty, respect, and integrity guide all coaching relationships.
2. Respect for Clients
Clients’ dignity, autonomy, and values are respected. Informed consent is obtained before coaching begins.
3. Confidentiality
All sessions are confidential, with limits where risk of harm exists or where legally required.
4. Boundaries
Professional boundaries are maintained. Dual relationships are avoided.
5. Transparency & Fees
All qualifications, fees, and terms are transparent. No false claims about outcomes.
6. Duty of Care
The coach complies with safeguarding and reporting obligations. Referrals may be made where needs exceed coaching.
7. Continuous Development
Ongoing professional learning and reflection are maintained.
8. Accountability
Clients may raise complaints; they will be handled respectfully and promptly.
Privacy Policy & Data Protection
1. Purpose of this Policy
This Privacy Policy explains how personal data is collected, used, and protected in connection with coaching services.
2. Information Collected
- Identity Data: Name, age, contact details.
- Session Data: Notes, goals, progress tracking.
- Payment Data: Securely processed payment details.
- Emergency Data: For minors only.
3. Use of Information
- Scheduling and conducting coaching sessions.
- Communication.
- Supporting coaching progress.
- Handling payments.
- Meeting safeguarding/legal obligations.
4. Data Sharing
No data shared with third parties for marketing. Data shared only with consent, legal/safeguarding authorities, or secure service providers (e.g., payment processors).
5. Security & Retention
- Records stored securely.
- Retained up to 7 years post-coaching (or 7 years after minor turns 18).
- Then securely destroyed.
6. Rights
Clients may access, correct, delete, or request copies of their data. Complaints may be raised with the Data Protection Commission (Ireland) or relevant US authority.
